VaultRE Product Overview Document VaultRE is the product of a strong, strategic partnership that combines experience spanning 46 years of real estate specific software development, with the knowledge, expertise and industry respect of the Real Estate Institute of WA (REIWA).

VaultRE was launched in August 2018 using the latest technology including artificial intelligence and machine learning amongst other new wave features. The management team (having previously created a market leading CRM over an 18-year period) had identified the key pain points experienced by the salesperson through to the franchisor in any real estate agency. Using experience and modern technology to address the gap in the market for a complete real estate software solution; VaultRE was born. We use Console at the moment. Our problem is with migrating our data. None of you providers seem to be able to help us with this. We have to start from scratch. This isn't practical for us. If we move to another provider we want our data to move with us.

ask your provider about this as sure most of them provide some sort of migration service where they bring your old data into you new system.

We haven't had a good experience migrating. We run 3 CRMs at the moment. If someone can tell us this process is easy I am all ears. We have my desktop and a few others. Why is this process so difficult?

Hi Anita & Terrance, you raise very valid points and for someone to say that data conversion is "effortless" or 100% reliable they are hiding the truth. I thought it's best to explain this with real live examples I've encountered over the last 20 years working in this space.

Let's consider a client is converting from CRM X to CRM Y:

CRM Y can only successfully import data that is actually made available by CRM X. I've seen cases where a contact/client exists (in one of the many CSV files produced) but critical information such as the "second" mobile number is omitted from the CSV file.

Is the data format consistent between CRM X and CRM Y? This is best illustrated with an example. If CRM X treats the Property's Street#, Street Name, Suburb, PostCode as a single field; and CRM Y has a requirement for this to be split into 4 or more fields, then this will result in unreliable data migration as CRM Y has to attempt a split of the property address.

Is the data within CRM X in the correct fields? Seems like a simple answer, but I've seen examples where a salesperson has entered the "Company Name" associated with each client in the "Fax" field/column. CRM Y will not be looking for a company name in this field as its intended purposes is for a fax number.

Historic financials data is rarely imported/migrated successfully. This is typically due to insufficient data coming from CRM X. For example, CRM Y may require full breakdown of commission splits to set a property as "settled". However, if only the "sale data" and "settlement date" are made available, this is insufficient data for CRM Y to work with...

All of this can sound too technical ; but to be honest the best approach in any data migration is to request for a sample data import to be performed prior (into a test/staging account), to ensure all stakeholders expectations are met.

Thanks for the explanation. Our office moved to Property Me about 6 months ago and we have years worth of records in My Console. We were not able to add historic records so now have 3 systems running including My Desktop! Speaking to other agents this is quite typical. I can imagine it can be a very difficult process, our records are inconsistent in our databases (mostly human error). So to expect a migration to work flawlessly is probably impossible.
